Recovery time objective (RTO)

The recovery time objective is the maximum length of time a system or business process can be down after an incident before the disruption causes unacceptable harm.

RTO answers the question: how quickly do we need this working again? A phone system or point-of-sale terminal might need to be back within an hour, while an archive server could wait several days. The RTO drives decisions about backup methods, spare hardware, cloud failover and support arrangements.

Many small businesses assume that having backups means they can recover quickly. In reality, restoring large amounts of data or rebuilding servers can take far longer than expected, especially after ransomware. Knowing your RTO in advance helps you invest in the right level of protection and set realistic expectations with clients and staff.

Practical tip: list your most important systems, agree on an RTO for each and run a test restore to see whether you can actually meet it. If recovery takes longer than the target, you either need a faster recovery method or a documented manual workaround for the gap.
