Printer and Copier Management
Printers and copiers that work when you need them and do not leave a security gap. Our Printer and Copier Management handles setup, drivers, scanning, troubleshooting and security for your printers and multifunction devices. We coordinate with your leasing or service company, configure scan-to-email and scan-to-folder properly, and lock down devices so they do not become an overlooked entry point to your network.
Printers generate a surprising share of IT frustration. Drivers stop working after updates, scan-to-email breaks when passwords change, and nobody is quite sure whether a problem belongs to the IT provider or the copier company. Our Printer and Copier Management ends that confusion. As part of our one-call approach, staff report printing and scanning problems to us, and we fix them or coordinate with the right vendor, so the issue does not bounce between companies.
We deploy printers through central management, so staff get the right devices and drivers automatically, including when they move between offices. Scanning workflows to email, SharePoint, OneDrive or network folders are configured using modern authentication rather than shared passwords that break or expose accounts. For leased multifunction devices, we work with your copier dealer on firmware updates, service calls and replacements, and we help you review whether your printer fleet still matches how your staff work.
Multifunction devices are networked computers with hard drives, web interfaces and stored address books, and they are often left with default passwords and outdated firmware. We change default credentials, disable unnecessary services, keep firmware current and place devices on an appropriate network segment. Secure release printing can hold confidential documents until the user is present, and stored data is wiped before devices are returned at lease end, which protects personal and health information in printed and scanned documents.

Who it is for
Printer and Copier Management suits any organization where staff print or scan regularly, and particularly offices that handle large volumes of documents, such as law and accounting firms, clinics, pharmacies, schools and government offices. It is especially useful where printers come from several vendors or leases, and where nobody is sure who is responsible when something goes wrong.
Questions we hear
Our copier dealer already services our machines. Why involve HSM IT Services?
Copier dealers handle hardware, toner and mechanical repairs well, but many printing problems involve computers, networks, drivers or email settings. HSM IT Services handles that side and coordinates with your dealer when the issue is mechanical. Staff report every printing problem to one place, and we make sure the right company resolves it.
Why are printers a security risk?
Modern multifunction printers are networked computers. They store scanned images, hold address books and often run web interfaces with default passwords. Outdated firmware can contain exploitable vulnerabilities. A poorly secured printer can expose documents or give an attacker a foothold on your network, so we manage printers with the same care as other devices.
Why does scan-to-email keep breaking?
Many older scanners send email using basic authentication or a shared account password, which stops working when Microsoft 365 security settings change or a password is updated. We reconfigure scanning to use supported, secure methods, such as scan-to-OneDrive, SharePoint or an authenticated relay, so it keeps working without weakening email security.
